USTP LAUNCHES ONLINE CLEARANCE SYSTEM
THE UNIVERSITY of Science and Technology of Southern Philippines has launched a clearance system that does not require students to physically show up in school.
The school’s Digital Transformation Office came up with the new system to protect students and staff during the pandemic.
“The eClearance System helps the students settle their obligations and secure clearance without going physically to any USTP campus and office. With travel restrictions in place and other safety protocols implemented, the students need not fall in line or travel. The signatures are requested online from different individuals and signatories in the university,” USTP said.
“With the new eClearance System, a student is cleared by default, unless an office tagged the student to settle either University Obligations (books, government properties, tuition) or Private Obligations (PTA fees, student organizations, GSFI for graduates),” it added.
The university said that once the student’s clearance was tagged, a notification via email will give instructions on how to settle the obligations and liabilities.
“To check on the status of the clearance, the student must log in to the Online eClearance Website. Once cleared, students can request for enrollment validation. Graduates and transferees can also request official records from the Registrar like transfer of credentials, transcript of record, diploma, certification and other important documents,” the school said.
USTP said that the Registrar’s office will send via courier all requested official documents. The shipping fee will be shouldered by the student.
The clearance system was developed by the DTO which is also behind the business process automation in the university. The USTP has also adopted systems for online admission, online enrollment and flexible learning.
Jonathan Jacobo, DTO director, said the plan is to convert all system to fully go online.
“DTO is fulfilling its mandate to strategize and to digitally transform if not all, most of our important processes and applications in the University for the benefit and for a smarter academic community,” Jacobo said.
